Label roll and artwork changes: prevent an approved design becoming an unapproved machine input

A print approval, a roll specification and a successful line trial are different decisions that need a shared revision record.

Procurement guidance, not a machine setting or laboratory result

Solve the buying question in front of you

Use one identified package record linking bottle, label construction, artwork and machine format. State which approvals concern visual design, legal content handled by the buyer, material supply and machine compatibility. Verify the actual delivered roll against the agreed specification before release. A PDF marked approved does not by itself confirm unwind direction, construction, splice handling or performance on the named labeller.

Separate artwork approval from machine release

List the decisions hidden behind the word approved. A brand team may approve the visible layout while the packaging team is still confirming dimensions and the equipment specialist has not tested the supplied material. Record the owner and status of each decision. Do not let a single email silently authorise every downstream step, particularly when the production date is approaching and several suppliers hold different versions.

Keep the bottle reference, label drawing and artwork revision together. The buyer remains responsible for obtaining the appropriate review of mandatory content for the intended market; this procurement checklist is not a legal label review. Distinguish a change in printed information from a change affecting the material or machine interface. Both need traceability, but they may require different approval evidence and different quantities of physical trial material.

Define the roll using the equipment supplier's requirement

Ask the responsible equipment supplier which dimensional, construction and feed details are needed for this process. Record unwind direction using an agreed illustration, label orientation, core and roll information, material identity and any relevant liner or registration features. A verbal direction such as labels facing outward can remain ambiguous without the machine-side convention and a marked sample. Preserve the reference used to resolve that ambiguity.

Do not manufacture a universal roll specification from another model's manual. A proposed material substitution should identify all changed fields, including items the buyer may not see in the finished print. Request confirmation of compatibility with the actual machine and format. If an item is still unknown, mark it pending rather than completing the form with a plausible value that may later be treated as a contractual instruction.

Make splices and roll identity visible

Agree how material lots, roll numbers and splices are identified and which information accompanies delivery. Ask how the installed process handles a splice and what operator or inspection actions are required. This is a request for the approved procedure, not an instruction to add a generic splice sensor or defeat an existing stop. Keep the responsibility for any proposed detection change in the quote.

Trace a production complaint back to the roll and the affected interval. If every sample is labelled only with the general order number, the team may be unable to separate a local roll issue from a whole-order question. Record remaining roll disposition and retained samples without declaring all stock defective from one incident. The relevant sampling and commercial disposition should follow the agreed review process.

Freeze a baseline before introducing the revision

Retain the last accepted material, package and setup revision before a new roll or artwork enters the line. Describe which fields change and which are intended to remain fixed. Plan a comparison that addresses the changed interface rather than treating a short run as proof of every future production condition. Identify the representative product and container state and the observations that will be made after application.

Keep startup, stable running, authorised stops and roll changes within the agreed trial boundary. If trial material is limited, state the limits on the conclusion and what evidence must be completed at the site. A visually acceptable first few bottles does not establish the behaviour of a complete production roll. Do not replace the missing trial with an unsupported statement that similar material has always worked elsewhere.

Link inspection recipes to the actual print

When artwork changes, ask which inspection or coding functions depend on its features. Record the relevant recipe revision and verification responsibilities. Presence detection and print-content verification are different functions; neither should be implied by the other. An unchanged label dimension does not establish that every existing inspection setting remains appropriate for the new artwork or for a changed registration feature.

Use the equipment specialist's controlled verification procedure and identify any required defect samples. Keep those samples out of saleable production and record their disposition. Do not improvise challenge methods or bypass a reject system to achieve a successful video. Where a function is absent, state the commercial gap and whether it requires manual control, a confirmed upgrade or a different acceptance scope.

Control files, physical samples and obsolete stock together

Name one released version and the location of its supporting files and physical reference. Mark superseded versions clearly and agree how remaining stock is segregated or otherwise handled. Avoid relying on a file name containing final when several different final files exist. The supplier acknowledgement should identify the actual drawing and artwork revision, not merely repeat that an attachment was received.

If the change is urgent, record the risk decision and the uncompleted evidence instead of silently shortening the approval sequence. Identify who may authorise a temporary scope and how it ends. Keep purchase, printer, machine and production records aligned, so an operator does not unknowingly use an obsolete roll simply because it fits on the spindle and carries the correct product name.

Ask for a quotation with a clear release boundary

State whether the request concerns new label material, print change, format conversion, inspection or machine replacement. List trial supply, material quantities, technical review, rejected material and document responsibilities. Ask for exclusions and dependencies, including the impact of a late change after parts have been ordered. No saving or guaranteed line performance is established by this checklist alone.

Allot Tech can coordinate confirmed commercial and technical inputs. Final release should link the accepted material, artwork, setup, inspection and trial report to the responsible signatories. A later change can then reopen the affected decision without discarding all prior evidence. This creates a usable change record rather than a collection of approvals whose scope no one can explain.

Worked review scenario

Hypothetical review: approved artwork, reversed roll orientation

A printer receives an approved visual file while the machine team expects a different unwind convention. Before production, receiving compares the delivered roll with the signed illustration and identifies the mismatch. The parties review material disposition and the corrected specification rather than treating artwork approval as evidence of machine compatibility. This is an illustrative control point, not a reported customer event.

Prepare the request

Package

Bottle, label drawing, construction and format references.

Revision

Changed fields, released files, prior sample and approval owners.

Delivery

Roll and lot identities, orientation, splice information and retained material.

Decision

Trial plan, inspection dependencies, release authority and obsolete-stock handling.

Technical reference and its limits

External technical references explain the context. They do not certify an Allot Tech machine or fabric, and their proprietary capabilities are not part of a quotation unless expressly confirmed.

Buyer questions

Does print approval confirm the roll will run?

No. Visual approval and machine compatibility need separately identified evidence.

Can every machine use the same unwind definition?

Use the actual equipment supplier’s convention and an agreed illustration.

Must an artwork change trigger a full machine replacement?

Identify the changed interfaces first; the required scope may be material, format, inspection or documentation.

What should the final approval name?

The actual package, material, artwork, setup and trial revisions with responsible release owners.

Discuss the project

Send the available documents and the decision that needs review.
