This guide gives buyers a practical sequence for planning responsibilities.
Phase 0: Freeze the project basis before shipment
- Approved layout, equipment list, interface points, foundations, access, and lifting plan.

- Packing list, machine references, manuals, drawings, software backups, spares, tools, and format parts.

Phase 1: Receive and reconcile the shipment
Inspect container and package condition, record seals where relevant, photograph unloading, and reconcile every package against the packing list. Identify damage, missing items, preservation issues, and storage requirements before crates are dispersed. Connect each package to the layout and installation sequence.

Phase 3: Electrical, control, and dry checks
Verify supply voltage and grounding before energizing. Check motor direction, sensors, actuators, emergency stops, interlocks, alarms, HMI recipes, network connections, and machine-to-machine signals. Save the as-commissioned PLC, HMI, drive, recipe, and parameter backups under controlled filenames.
Phase 4: Cleaning and utility trials
Confirm cleaning media, drainage, water quality, compressed-air quality, chemical handling, and approved procedures before introducing product. Run utilities under expected load and record instability. A machine fault caused by low air pressure, inadequate cooling, or unstable voltage should not be hidden as an adjustment problem.
Phase 5: Individual machine and integrated line tests
Start with controlled single-machine checks, then connect the full process. Test normal running, starvation, blocked discharge, stops, restarts, rejects, changeovers, and fault recovery. Measure output at the agreed point with the intended downstream packaging active. Record quality checks and downtime causes rather than reporting only a peak display value.
Phase 6: Training and handover
Separate operator, changeover, cleaning, maintenance, troubleshooting, safety, and controls training. Record attendees, topics, practical tasks, documents used, and remaining competence gaps. Handover should include final drawings, manuals, parts lists, backups, settings, lubrication schedule, preventive maintenance plan, and support contacts.
Phase 7: Site acceptance and stabilization
Close the agreed site acceptance test, then maintain a stabilization log for recurring stops, material variation, operator questions, spare-parts use, software changes, and open supplier actions. Define when ownership transfers from installation to routine operation and which warranty reporting process applies.
Actual durations depend on scope, site, local requirements, team readiness, and test results. Use gates and evidence rather than publishing an unsupported universal number of days.
Questions buyers ask
When should site preparation start?
Before equipment is shipped. Layout, foundations, access, utilities, drainage, test materials, labor, and permits should be controlled against supplier drawings and local requirements.
Is commissioning complete when the line first runs?
No. First motion or first product is only a milestone. Integrated performance, quality, changeovers, training, documents, issue closure, and acceptance still need records.
Who owns delays caused by site utilities?
The contract and responsibility matrix should define this. Record required and actual utility conditions so causes and corrective actions are visible.
