How to Compare China Supplier Quotations

A buyer-side guide to comparing quotation scope, assumptions, exclusions, and supplier communication quality.

Supplier quotations can look similar on the first page but differ heavily in scope. A useful comparison looks beyond the final price and checks assumptions, exclusions, technical details, payment terms, lead time, warranty, and communication quality.

Compare scope before price

  • Included equipment, accessories, tooling, spare parts, and documentation.
  • Excluded costs such as installation, local materials, tax, freight, or special packaging.
  • Technical assumptions around capacity, material, dimensions, voltage, and destination requirements.

Check commercial terms

Payment terms, production lead time, validity period, warranty, after-sales support, and delivery terms can change the real cost of the project. Ask suppliers to clarify vague phrases before comparing offers.

Look at communication quality

A supplier who answers clearly, requests missing information, and explains tradeoffs may be easier to work with than a supplier who only sends a low price. Communication quality is part of risk control.
